This privacy policy describes how CloudScan ("we", "us", or "our"), developed by CloudExpo, handles personal data collected from users ("you" or "your") who use our mobile application in connection with event attendance management.

    Information We Collect and Use

a. Account Information

Event staff log into CloudScan by scanning a QR code provided by the event server. This QR code contains identifiers that are unique to the staff member and are used to authenticate and authorize access to the CloudScan app.

b. QR Code Data

When attendees' QR codes are scanned by event staff using CloudScan, the app makes API calls to the corresponding event server. This process transmits information such as attendee ID and event attendance status to update and mark the attendee's presence.

    How We Use the Information

Authenticate Staff: To authenticate event staff and provide access to the CloudScan app functionality.

Record Attendance: To record and verify attendee attendance at events by transmitting QR code data to the event server.

    No Third-Party Data Sharing

We facilitate the transfer of personal data, including event staff identifiers and attendee attendance information, to event servers controlled by the respective event organizers. This transfer is secured through encryption to protect the data during transmission. We do not store personal data within the CloudScan app.

CloudScan does not share any data with third parties for advertising, marketing, or other use.

    Security Measures

We take the security of data seriously. All data transmitted between CloudScan and event servers is encrypted using industry-standard protocols to ensure it is protected against unauthorized access and breaches.

    Data Retention
CloudScan acts as an interface for event staff to scan QR codes and transmit attendance data to the designated event server. CloudScan does not retain any personal data within the app after the data transmission process is completed.

The retention of personal data collected through the QR codes and processed via the CloudScan app is governed by the event organizer’s data retention policy. Each event organizer is responsible for determining how long your data will be retained on their servers, in accordance with applicable legal, tax, and regulatory requirements.

To understand how long your personal data will be stored, or if you have any questions regarding the retention of your data, please refer to the privacy policy of the respective event organizer. This information is typically provided at the time of data collection or on the event registration site.

In the event that you are an event staff member, the data retention policy related to your login information and any other personal data processed during your use of CloudScan is determined by your employer or the entity that has provided you with access to the app. Please consult the relevant party’s privacy policy or contact them directly for more information regarding data retention.

    Your Rights

As a user of the CloudScan application, it's important to understand that CloudScan operates as a tool for event staff to facilitate the attendance process. CloudScan itself does not store, retain, or have access to personal data once it has been transmitted to the corresponding event server. Therefore, any personal data collected via the QR codes and processed through the application is under the control of the event organizers who are responsible for the event servers.

As a result, your rights to access, rectification, erasure, restriction, portability, objection, and any other data subject rights under applicable data protection laws are exercised with the respective event organizers. These organizers are responsible for maintaining the data and complying with applicable data protection regulations. CloudScan facilitates the communication of these requests to the event organizers but does not directly fulfill these requests as it does not hold the data.

If you are an event staff member or attendee seeking to exercise your rights regarding your personal data, please direct your requests to the event organizer responsible for the data collection. The organizer’s contact information is typically provided at the time of data collection, on the event registration site, or within the organizer's privacy policy.
